Community Co-Ordinator

The Community Co-Ordinator oversees the day-to-day operations of the organisation and ensures that it operates in accordance with the Committees decisions, constitution, relevant legislation and funding requirements.

The successful applicant will be well self-motivated, organized and reliable with sound communication and strong office and bookkeeping skills. They will have the ability to work independently, meet strict deadlines, support the Committee and be a positive contributor to the team who will champion the NT and the unique lifestyle it affords its residents.

The main duties of the role include, but are not limited to:

  • Philanthropy

    • Fundraising Co-ordinations

    • Sponsorship queries

    • Facilitating Competitions

    • Be in the community to assist with spotting opportunities so we are able to support other community groups

    • Liaise with community co-ordinators within and outside of the Defence Community to strengthen relationships within our community, such as;

      • DCO

      • Defence School Mentors

      • Defence Dandelions

      • Neighbourhood houses

      • Mental health groups

      • Veteran support groups

      • Cadets/Scouts

  • Advertising

    • Source new advertisers

    • Manage advertising booking

    • Liaise with 3rd parties

    • Develop relationships with prospective & current advertisers

  • Article Contributors

    • Source article contributors from local Defence members and community members

    • Filing and organization of articles as well as vetting articles ready for Proofreading

  • Supporting the Committee

    • Liaising with the Committee members to support the creation of reports ready for meetings

    • Supporting the Chairperson, Treasurer and Secretary of the Committee

    • Liaising with Graphic Designer, Proofreader and other 3rd parties as required

    • Support to increase readership

  • Bookkeeping using MYOB Essentials

    • Accounts payable and receivable

    • End-to-end payroll

    • Quarterly reconciliation and BAS completion, liaise with an accountant for End of Financial Year

    • Liaise with accountants as required

  • Grant Funding

    • assist with drafting reports, reconciliation of payments, support with applications​

  • Facilitate the distribution of the magazine

  • Procurement of stock, supplies and merchandise

  • Database management

    • Adding/Removing subscriptions

    • Advertisers

    • Contributors

  • Maintain Operations Manual

  • Function attendance

    • Overseeing advertising functions; include selling, advertising space, the booking process, document management

  • Update Website using WIX (training will be provided)

  • Check mail

  • Manage key registers

  • General Enquiries and redirecting to an appropriate committee member as required

Essential Criteria:

  • Experience with MYOB Essential

  • Proficient in Microsoft Office

  • Demonstratable Sales experience

  • Demonstratable understanding of Defence and the NT Defence Community

  • Clearance to access Darwin Defence establishments (hold current Defence ID Card)

  • Able to attend monthly evening meeting

  • Valid Licence and access to a Vehicle

  • A Working with Children Check (WWCC)

Desirable Criteria:

  • Experience with Grant Funding, specifically FSFP, including the application process, reconciliation and guidelines.

  • Efficient business acumen within emails and phone communication

  • Able to use WIX for updating Website event details

  • A first aid certificate

  • A satisfactory police clearance may be required

Start Immediately (negotiable)

This is a Part-Time position of up to 24 hours per fortnight, 9-12pm Monday - Thursday (Negotiable days and operating hours), based at our child-friendly office on Defence Establishment Berrimah. This position does include some flexibility to work from home on certain days.

12-Month Fixed term position - based on funding approval.
The role will be on a Financial Year Contract (1 July-30 Jun) to be in line with the Funding by DCO. There will be a 3mth probation then regular performance reviews.

The salary is award rate, negotiable based on your experiences, with incentivized bonuses which are negotiable upon an increase in revenue, fundraising generation, and performance reviews.
